How do we protect your privacy?
Recruitment Select respects the privacy of all individuals and is committed to strengthening our existing organisational culture to ensure an individual’s privacy is valued and safeguarded. Recruitment Select’s privacy principles cover the way that personal information is managed.
Principle 1 – Open and Transparent Management of Personal Information
Recruitment Select will take reasonable steps to implement practices, procedures and systems to ensure we comply with the Australian Privacy Principals and that we are able to deal with any inquiries or complaints from individuals. Staff and clients will be able to easily access our privacy statement which covers how we comply with the Privacy Principals and all new staff will be shown the policy through their induction.
Principle 2 – Anonymity and Pseudonymity
Recruitment Select will respect an individual’s right to maintain anonymity or Pseudonymity when dealing with general enquiries. However, in some cases it is not possible to maintain anonymity when dealing with Recruitment Select about employment.
Principle 3 – Collection of solicited personal information
Recruitment Select collects personal information about an individual, client or customer only if it is lawful to collect the information and if it is relevant to the performance of our primary functions. Recruitment Select will only collect personal information from the individual, client or customer directly through registration forms, employment agreements, work contracts, credit applications etc. Recruitment Select will not source information from other individuals or organisations without the individuals, clients or customers consent.
Principle 4 – Dealing with unsolicited personal information
If Recruitment Select receive any unsolicited personal information that we consider we could not have received through our collection of solicited personal information or through a Commonwealth record, we will as soon as practicable and only if it is lawful, destroy or de-identify the information
Principle 5 – Notification of the collection of personal information
Recruitment Select will before or at the time of collection, inform you that
- personal information is being collected and retained (including any Australian Law or Court/Tribunal Order associated with the collection of the required information),
- the purpose of the collection,
- who we may disclose any personal information to (including overseas recipients),
- how you are able to request access to your personal information and
- how you are able to make a complaint about a breach of these principals and our process to deal with a complaint.
Principle 6 – Use or disclosure of personal information
Recruitment Select uses, and may disclose, the personal information we obtain for the primary purpose for which the information has been collected. Recruitment Select would only use your personal information where it is reasonable and necessary to perform a contractual function. For example, we may use your information to contact you for feedback about our service.
Principle 7 – Direct Marketing
Recruitment Select will not provide any other organisations, with personal information for the purpose of direct marketing unless the individual’s information is required for Recruitment Select to meet an obligation under a Commonwealth contract.
Principle 8 – Cross Boarder disclosure of personal information
Recruitment Select will take reasonable steps to ensure each individual’s privacy is protected when we need to transfer your personal information or health information interstate or overseas. This includes developing appropriate contractual arrangements and making due diligence inquiries to ensure that the information is forwarded only to a person or organisation that has appropriate standing in place to protect privacy.
Principle 9 – Adoption, use or disclosure of Government related identifiers
Recruitment Select will not use a government related identifier of an individual as our own identifier. Our in-house record keeping procedure allocates a random identifier for each client, staff member or customer through our ResMan database.
Principle 10 – Quality of personal information
Recruitment Select will take reasonable steps to ensure that the personal information we collect from an individual is correct and up-to-date. We may ask to verify information we hold about an individual to ensure it is accurate. Individuals are welcome to call Recruitment Select if they have concerns about the accuracy of their personal information.
Principle 11 – Security of Personal Information
Recruitment Select record individual details in client, staff or customer files. Individual files are stored in a secure environment. It is accessed, where relevant, by authorised people working for Recruitment Select and its associated funding bodies, where appropriate. All information held in electronic format is done so on secure servers with only staff allowed to access information that relates to their specific role.
Principle 12 – Access to personal Information
At the request of an individual, Recruitment Select will provide them with access to most of the personal information and health information we hold about them. There are some exceptions limiting the information we will give out to an individual. These will be explained at the time they make their request.
Principle 13 – Correction of personal Information
Recruitment Select are required to ensure that the information we hold about an individual is accurate, up-to-date and correct. In part, we depend on the individual to advise us of changes to their personal details. Once we are aware of any inaccuracies, we are obligated to correct these.
